Position Overview
We are hiring an Executive Assistant to support our Managing Partner & CEO, Jeff Cyr. This is a senior-level support role at the centre of the organization. You will work closely with the CEO and Chief of Staff to help manage priorities, relationships, and execution. This is not simply a task-based or reactive assistant position.

You will serve a key role in ensuring the executive office runs smoothly, efficiently, and thoughtfully. This role is ideal for someone who enjoys responsibility, values excellence, and wants to grow in a high-impact environment.
Key Responsibilities
Executive & Strategic Support
· Manage the CEO’s calendar, meetings, and priorities with care and foresight
· Anticipate scheduling conflicts, preparation needs, and follow-up requirements
· Plan and manage all executive travel and logistics
· Prepare briefing materials, agendas, and action lists
· Review and organize incoming communications
· Flag sensitive, urgent, or high-risk matters
· Draft correspondence and materials when appropriate
· Handle confidential information with discretion
· Coordinate personal appointments, travel, and logistics
Planning, Coordination &Stakeholder Support
· Coordinate internal and external meetings, events, and engagements
· Manage logistics, technology, and materials
· Communicate professionally with government officials, funders, and partners
· Track commitments and ensure follow-through
· Maintain organized digital systems and contact databases
Partnership with the Chief of Staff
· Align schedules, workflows, and priorities
· Support preparation for leadership meetings
· Assist with special projects and initiatives
Administrative & Operational Leadership
· Prepare and reconcile expense reports
· Improve systems and processes
· Take initiative to strengthen executive operations
Who We’re Looking For
Required Experience & Skills
· Minimum 3 years supporting senior leaders or executives
· Strong organizational and time-management abilities
· Excellent written and spoken English
· Ability to draft professional communications
· Strong digital skills (Google Workspace, Microsoft Office, Zoom, Teams)
· High standards of confidentiality and judgment
· Comfortable working independently in a remote setting
· Availability during Eastern Time business hours
· Experience with Indigenous organizations or communities

· This is a full-time, remote position
· Candidates must be available during Eastern Time business hours
· Preference will be given to candidates based in Montréal or Ottawa due to occasional in-person meetings
· Some travel may be required
